Meeting rooms is a flexible feature that can be used in several different ways. A meeting room is not limited to a specific time or day and is open to anyone who has the join code.

Scheduling of activity in meeting rooms

How you plan the time and date of a video consultation is not ruled by a meeting room. Meeting rooms can therefore be combined with scheduling and the calendar setup in your own unit’s EMR system.

Discuss within your unit how this feature best supports your work.

Doctrin recommends two methods to manage invitations

Method A) – invite participants using Sendouts
Use the feature Sendouts in a normal way and include the join code for the meeting room to the person that you want participating in the video consultation. Make sure you have copied the correct join code from the list of meeting rooms.

Example:

Welcome to Parenting Group 1, Wednesday 12 January at 14.00.
Go to https://e-besok.se/doctrin/healthcare-centre/ and log in.
Go to the menu and select “Join video consultation”.
Enter the code “123 456 789” as join code and select “Join”.

Method B) – invite participants with another communication service
Use an external communication service such as SMS or email to share the join code and invite the person you want to join the video consultation. Make sure you have copied the correct join code from the list of meeting rooms.

Example for email:

Hi,
Welcome to a video consultation Friday 3 January at 14:00.
Go to https://e-besok.se/doctrin/healthcare-centre/ and log in.
Go to the menu and select “Join video consultation”.
Enter the code “123 456 789” as join code
Select “Join”.

Both methods can manage deep links. They take the patient directly to a video consultation in a specific meeting room.

The format for the link is:
https://e-besok.se/doctrin/healthcare-centre/meeting-rooms/123456789/

The link consists of the base URL (https://e-besok.se/doctrin/healthcare-centre/ in the example) plus /meeting-rooms/ and then the join code of 9 digits (123456789 in the example).

Working with phrase templates a Sendout in Doctrin platform can look like this:
